  4. membership of society

     1. there is no membership fee

     2. anyone can become member by providing name, contact, and preferred mode of communication (phone, email, postal address) to pudina sanga

     3. however pudina sanga will classify member type as guest, general-member, managing-committee-member. this is explained further below

  5. end of membership, will be in following cases

• • 1. after death

    2. after become insane

    3. after a judicial punishment

    4. after engaging in anti-society work

    5. after being bankrupt

    6. after resigning

• 6. type of society member

• • 1. manager = 4 in number. manage pudina sanga organisation and activities. form quorum. very active role

    2. general  = 3 in number. form quorum. membership decided by pudina sanga election. active role

    3. guest = anyone else by being associated with pudina sanga

• 7. poll

• • 1. pudina sanga will organize polls where required, like electing members, changing bylaws, memorandum, etc

    2. polling process will be easy and open. this means complete transparency in poll agenda, nominee, their details, votes, etc. these will be published at http://www.pudinasanga.in/poll

    3. ballots, answers, suggestions, feedback, proposals, etc for the poll will be received at website, as well as using participant’s preferred mode of communication

    4. poll will remain open for at least 7 days

    5. poll results will be available dynamically, as and when votes are being cast, or poll answers are being given, however there may be little system delay, no more than a day. results will be final when poll is complete or 7 days are past, whichever earlier

    6. ballots, answers, suggestions, feedback, proposal, etc if available will be kept at website for at least 30 days

    7. as all information, including who cast what, is available at website, participants can self-verify what they voted, and hence poll process is self auditing

    8. however if there is any dispute then it can be raised within 7 days of final results

    9. dispute and resolution process will be completely transparent and available on website

    10. votes corresponding to that dispute will be cast again, and counted in final poll which should not take more than 7 additional days

    11. quorum of the event will be the outcome that 2/3rd of participants favored

    12. if there is no quorum then re-poll will be required

    13. as an easy polling strategy is available, there will be little need for physical meeting. this will help pudina sanga use efficient coordination and communication methods to manage things

• 8. duties and responsibilities of managing-committee

• • 1. holds main responsibility of running pudina sanga. includes finance

    2. work period will be decided by poll otherwise indefinite

    3. the 4 managing committee posts of president, vice president, general secretary, and treasurer, are flexible and any one of them can take any role

    4. coordination of judicial matters for society and any activity against society

    5. overall responsibility lies with all four together

    6. all tasks that managing-committee is doing or will do will be transparent and published www.pudinasanga.in

• 9. to change the constitution of society, managing committee will create modified and changed version and get it passed by poll based on respective rules and present the approved final version within 30 days to request for registration at registrar office. new rules will be in effect only after approval from registration authority

  10. society fund and management

• • 1. society will receive funds from donation, grants, or any other mean prescribed by respective act and law, and for which society is entitled

    2. society fund will be kept in a bank, which can be nationalized or private or cooperative or other type. transaction of money from this fund will be done by joint signature of any of two managing committee member

• 11. every year managing committee will keep record of financial input and output and balance sheet and present at sub registrar office in due time

  12. audit and inspection of financial input and output will be done by approved chartered accountant

• 14. dissolution of society and dissolved assets distribution work will be done according to applicable rule of society registration act
